Emoji Magic: Organize Your Dubsado Like a Pro

Tired of scrolling through endless lists in Dubsado? Feeling overwhelmed by disorganized project pipelines, form templates, or canned emails? It's time to inject some fun and functionality into your workflow with emojis!
Believe it or not, these tiny icons can be a game-changer for organizing your Dubsado. By strategically using emojis, you can transform a chaotic workspace into a visually appealing and efficient system. In this post, we'll dive into practical tips and tricks to help you harness the power of emojis to streamline your Dubsado experience.
Here are 4 places in Dubsado where you should be using emojis (psst. #4 is the best).
01. Project Pipeline
This is probably the most popular way to utilize emojis in Dubsado. Your project pipeline is the backbone of your Dubsado workflow, and adding a touch of emoji magic can transform it from a mundane list into a visually appealing and efficient system. By using distinct emojis for each project status, you can quickly identify where a project stands without having to read each label. For example, a green checkmark emoji might represent "Completed" projects, while an ice cube could signify "Cold Leads". Get creative and choose emojis that resonate with you and your business.
To add emojis to your project statuses, simply navigate to your Projects screen, click "Customize," and then right-click before the status name to insert your desired emoji.
02. Forms
Organizing form templates can be a daunting task in Dubsado. While emojis can't magically create a dedicated folder system, they can significantly improve visibility and categorization. As you may already know, whatever you name a form is what shows up on the form link buttons, so organizing form templates by name is limited. One trick for public proposals is to use an asterisk in front of the form title.
FUN TIP: Any time you put an asterisk (*) in front of a title in Dubsado, it will automatically be brought to the top of the list. This, at least, clumps all public proposals together at the top and you don’t have to worry about the title name since these are only used on websites and not accessed via a form link button.
But how can you utilize emojis?
By prefixing form titles with specific emojis, you can visually group related templates. For instance, use a 'folder' emoji for master templates, or an 'X' for inactive forms that you aren’t quite ready to get rid of yet. This simple trick can save you precious time when searching for the right template.

1) It can ensure you don’t accidentally use the wrong forms
2) It brings forms to the bottom of the list and out of the way
3)You can categorize your templates and easily find what you are looking for
03. Workflows
While Dubsado offers drag-and-drop functionality for workflows, keeping them organized can still be a challenge. Let's explore how emojis can transform your workflow management.
By using emojis to categorize workflows, you can instantly identify their purpose and location. For example, a 'camera' emoji could represent photography-related workflows, while a 'calendar' emoji might signify scheduling workflows. You can also choose an emoji for each service and put that emoji in front of the workflow titles that correspond with that service. For example, a “sun” emoji for all the workflows associated with a VIP Day service. When you look at the example below, you will see that I use a map emoji for my BOOKING | Strategy & Mapping Session. So then, I use the map emoji for my BOOKED, FULFILLMENT, and OFFBOARDING Strategy & Mapping workflows as well since they all are part of my Strategy & Mapping process.
To enhance organization further, create blank workflows as dividers. Name these dividers with descriptive text to clearly separate workflow groups. For instance, “—-LEADS—-" can serve as a visual anchor for lead-related workflows. Then, drag all of the workflows that fall under the inquiry stage under that title. This helps bring more organization, especially when you have a ton of workflows. You could also label these dividers by service type if that works better for your business.
Canned Emails
Dubsado’s canned email section can quickly become a daunting jungle. Let's tame this chaos with emojis!
It is a lot on the eyes to scroll down a long list of email titles looking for the right one. Of course, naming your canned emails appropriately is also a huge factor and can cost you a lot of wasted time if not done correctly. By strategically placing emojis at the start of your canned email titles, you can visually categorize and prioritize your email templates. For example, a 'money bag' emoji could signify payment-related emails, while a 'calendar' emoji might represent scheduling communications.
REMEMBER: Dubsado prioritizes titles with asterisks. Combine this feature with emojis for maximum organizational power. Place an asterisk before your most important emails to keep them at the top of the list, and then use emojis to further categorize them.
I have used emojis in my Dubsado canned emails for a while, but never really thought of why or how it determines the order of the emojis. Then, a client brought that question to me and I ventured down a rabbit hole to find the answer, and then this blog article was born.
BONUS TIP: Explore the world of UTF-8 encoding to manipulate the order of your emoji-prefixed canned emails. By understanding the underlying code, you can achieve precise placement within your list.
At first, I thought maybe emojis were organized by the emoji name, but that turned out to be false. I came to find out that emojis are created using the UTF-8 encoding standard giving each of them their own special code of various lengths with a mix of numbers and letters. THIS is what determines what order they will be organized in. They will go in order from the lowest UTF-8 code to the highest. So if you want certain emails further up your list than others, find an emoji with a lower UTF-8 code to use in front of those titles. Here are some examples:
U+2692 (hammer & pick)
U+1F397 (Reminder Ribbon)
U+1F440 (eyes)
U+1F44B (waving hand)
U+1F4B2 (heavy dollar sign)
U+1F4C3 (page with curl)
U+1F4DE (telephone receiver)
U+1F5FA (world map)
U+1F6D2 (shopping cart)
